2017: Can I transfer to another Spartan Race, to another person, or both?

This applies to all registrations deferred prior to or on January 9th, 2018. No exceptions.

Sometimes, things happen, and you're just not able to make an event that you had planned on. Not to worry, Spartan Race does allow you to defer your unused registration.

THE DETAILS:

30 DAYS TO INITIATE DEFERRAL: You have until 30 days AFTER your event to defer your UNUSED registration to a new event. You do not have to complete the process and choose your new event at this time, but you must initiate the deferment within 30 days.

90 DAYS TO USE DEFERRAL CREDIT TOWARDS NEW RACE: You will have 90 days after the event you are transferring out of to sign up for your new event. The new event does not have to take place within those 90 days, you just need to complete the registration within 90 days (i.e., the new event can take place a year from now, but you must register for it now). The credit expires after 90 days and no further credit will be offered.

More Details:

  • Our Transfer/Deferment Policy currently only applies to events in the continental US & Hawaii. We are not able to transfer a registration from a US event to another country.
  • The option to defer will be taken offline Wednesday prior to the event as all of the bibs for the race weekend need to be prepared. It will come back online by Wednesday after the event once we are able to verify the bibs that have not been used.
  • If the event you want to transfer to is not open for registration yet, you must still initiate your deferment within 30 days after your race. A code credit will remain in your Chronotrack account, to use for eligible events, up to 90 days after the event you are transferring out of.
  • You cannot use the code for a sold out event. It is the racer’s responsibility to ensure the event is not sold out before completing the deferment.
  • If you are transferring additional purchases such as the iTab, please email us after you have completed and paid the deferment fee.
  • Kids Race & Spectator Registrations (registered for separately, not as an "add on" to a racer registration) will be available for deferment to a future race - at NO CHARGE - up until 48 hours prior to the race. After 48 hours, you will no longer be able to defer Kids Race or Spectator registrations. If you purchased a Kids race or Spectator as an "add on" to a racer registration, please contact Customer service for deferment assistance. 
  • Hurricane Heat deferments OUT of the event (to a future event) will be allowed up until 10 days prior to the event, when the bib list and start times are initially published. Those registered for the HH that want to change to a regular race time may do so, up until the night prior to the event.

THE PRICING:

Our $14 Insurance Fee is charged per person, per day, per venue and is non-transferable and non-refundable. If you want to defer your entry, you will need to pay the $14 Insurance Fee again for the new event - NO EXCEPTIONS.

  • At the time you defer your race, you are charged the flat Deferment fee of $25 (Unless you are transferring a Spectator or Kids registration, see above). 
  • When you defer your registration to a future event, you will be given a flat credit based on the distance of the event. The actual amount paid will not affect the amount of the credit given. The credits are as follows:
  • You'll receive a credit based on the event. Sprint $69, Super $89, Beast $129, Stadium $89, UltraBeast $160.
  • Do to the unique nature of the Agoge, we are unable to offer a refund or future race credit under any circumstance.
  • When you register for the new event with your deferment credit, you will be responsible for any price difference between the above amounts and the current price of the event you are signing up for. You will need to purchase Participant Insurance for the new event. You will also not be able to use any discount codes or offers when signing up for the new event. 
  • If you are deferring your entry to another person to use, you will still pay the flat deferment fee of $25. Whoever completes the new event registration with the deferment credit will be responsible for paying the price difference and Participant Insurance.
  • The deferment credit cannot be used to pay the Participant Insurance or the processing fee. You will need to pay those fees again when you sign up for the new event.
  • The deferment credit is valid for a single use on a registration. Any deferment credit remaining after you sign up for the new event will be forfeited. It cannot be used for future events, the Participant Insurance, processing fees, or merchandise. 

 

THE PROCESS:

To Transfer YOURSELF to a future event:
(or, Transfer your registration to a different person)

  1. Head over to https://services.athlinks.com/ (our registration system) and choose "Athlete Login" in the upper right corner: 




  2. Log in or create an account using the SAME email address you used for your original registration. 

  3. In your profile, you'll see "Upcoming" and "Past" events tabs. Locate the race you'd like to defer.
     


  4. Once you locate the race you'd like to defer, choose "Change Race" on the right hand side: 

  5. When you click Change Race, you'll have two options:
    Change to Another Race: this will allow you to move your Start Times WITHIN the same race date.
    Defer my registration for another event: this will allow you to withdraw from this event and receive credit to use at a future Spartan Event.

  6. You will then be asked to confirm the Race Deferral fee ($25) and to finalize that transaction.

  7. After payment, you will receive a confirmation of your deferral, with a coupon code that can be used to move to the next race of your choice. This coupon code is shown to you onscreen, emailed to you in a confirmation email, and saved for reference and use in the "Coupons" tab of your Chronotrack profile: 
    *If you're deferring your entry to a friend to use in your place, all you need to do is supply them with this coupon code. They can then proceed with registration as normal. (see #8)

  8. When you're ready to register for your NEW race, simply go through the registration process as usual for the new event. Input the Deferral Code you received into the Coupon Code box during registration and you will be credited the appropriate amount. Any remaining fees (price difference, Participant insurance, processing charge) will be your responsibility at that time.
  9. It is up to you to ensure the race you want to transfer to is not sold out and also be aware that events can sell out at any time. It is possible for a heat or event to sell out during the transfer process. 

 

To Defer my registration to a DIFFERENT PERSON:

  1. Head over to Chronotrack (our registration system) and choose "Athlete Login" in the upper right corner: 




  2. Log in or create an account using the SAME email address you used for your original registration. 

  3. In your profile, you'll see "Upcoming" and "Past" events tabs. Locate the race you'd like to defer.
     


  4. Once you locate the race you'd like to defer, choose "Change Race" on the right hand side: 

  5. When you click Change Race, you'll have two options:
    Change to Another Race: this will allow you to move your Start Times WITHIN the same race date.
    Defer my registration for another event: this will allow you to withdraw your registration from this event and receive credit to transfer to another racer.

  6. After choosing "Defer My Registration for Another Event," you will be asked to confirm the Race Deferral fee ($25) and to finalize that transaction.

  7. After payment, you will receive confirmation of your deferral via email.  That message will include a coupon code. This coupon code is shown to you onscreen, emailed to you in a confirmation email, and saved for reference and use in the "Coupons" tab of your Chronotrack profile: 

  8. You'll need to give that code to the new racer. 
  9. The new racer will go through the registration process as usual, until prompted to enter a "promotional code."  He/she will input that code, and it will credit the appropriate amount.  Any remaining fees (price difference, Participant insurance, processing charge) will be the new racer's responsibility at that time.
  10. The new racer is not guaranteed to get the same spot as you. It is up to you to ensure the heat is not sold out prior to completing the deferment. If it is we cannot guarantee the new racer will be able to sign up for the heat you were originally in.

    Hello,

    Yes, When you click Change Race, you'll have two options:
    Change to Another Race is the first option and this will allow you to move your Start Times WITHIN the same race date.

    Hello,

    The Tampa transfer will option has been disabled since the race was this weekend. It will come back online later next week, usually by Wednesday.

    I need to transfer my registration to another runner. What do you mean by credit for Middle Level Pricing? Will the new runner have to pay anything besides insurance?

    It will take a few days for the team to verify the bib was not used this weekend. Give it a try Wednesday.

    My race from August was postponed to January 18th. I got the email with notice January 9th and there is no way I can get the day off from work. What can I do about this? I obviously don't want the money to go to waste.

    The option is taking offline until Wednesday to ensure which bibs were not used.

    I am attempting to transfer my registration for the Charlotte NC Sprint on April 11th, do I defer my registration to another registrant, I am not seeing the link to set up another registration as was on the 2014 event list

    Hello,

    Since the bibs are pulled for this event the option is offline, however you should see it appear again later next week once the team is able to verify the bibs not used.

    Hi Russ,

    There would be no reimbursement as when you defer you are taking a credit for the race you are signed up for and getting a code to sign up a new racer.

    I have a foot injury an will not be able to participate in the upcoming Arizona Sprint in February. I have someone else interested in taking my spot, but I wanted to make sure they would get the same time slot as I currently have (we have a group running together). Or would it be better for her to just show up and impersonate me....

    I noted instructions for transferring registration to another racer, however, please confirm whether the new racer will also be able to replace a team member for a race date/heat time that's already set? Please advise ASAP as we're registered for the Atlanta Sprint on 3/7/15 @ 12:15PM. Thanks!

    I know this is last minute, but I was trying to transfer my race, but there is no way for me to change it. I am supposed to be in the Spartan race at Fenway, but due to a health issue I will be unable to make it. How do I change it?

    Hi Heather,

    The issue is that you have 90 days to complete the first step of the deferment process however the Fenway event was almost 7 months ago so you are now outside of those 90 days. You can email us at US@spartan.com and we can look into your options however there are no guarantees we would be able to do anything this far past the expiration.

    Cecily,

    I'm not part of the Spartan team but might be able to answer your question. According to the previous post, it seems that once the event gets closer they have to pull bibs and disable the defer option until the event has passed. It should be available for you soon after. I believe you have up to 90 days after the event has passed to defer your race. Hope this helps! Good Luck! AROO!

    I attempted to "defer" my registration, but there is no "change race" button when I log-in. I would like to transfer to a future event. It seems many other people are having the same trouble.

    I am registered for the Spartan Sprint on 5-10-15. When i signed up for it 6 months ago, I didn't realize it was on Mother's Day. I want to switch it to the next weekends race, but the option isn't available for me. It just gives me View Receipt or Manage Team.

    I thought I had clicked on deferred entry but it went through as a time change within the SoCal race. Is there any way to change it to a deferred entry so I can use it for another race later without having to pay another $27?

    How much does it cost in total to transfer to another racer? I see the $25 to defer, now when I give the coupon code to someone else, do I get reimbursed what I paid originally?

    I am signed up for the Boise Sprint race tomorrow (6/13/15) and need to defer my registration to my husband as I am no longer able to run. When I log into Chronotrack I only have the options to view my receipt and my team. Please help asap so he can run tomorrow! Thank you!
